This document is a letter written to a landlord to complain about an issue regarding the leased premises. The sender of this letter will be the tenant who is renting the premises from the landlord. The primary goal of this letter is to inform the landlord about the issue (or remind the landlord of the issue if they have already been informed) and ask the landlord to correct it.

Sometimes, complaints to landlords are done on the phone. However, having something in writing is always best for a situation like this, so that a paper trail can be created. In a worst-case scenario, if the landlord doesn't respond and doesn't correct the issue, the tenant has proof that a complaint was made.

This letter may not be appropriate for situations in which a basic maintenance request is needed. Instead, a Tenant Maintainance Request letter can be used for routine upkeep requests.

This form letter is very simple but includes space to ensure that the landlord is given a detailed explanation of the problem. Additionally, if the landlord has already been informed of the problem, that can be noted within.

How to use this document

This document can be used in any situation where a tenant needs to make a complaint to a landlord. In this letter, the identifying information for the tenant will be entered, such as name, address, and telephone number. Then, identifying details for the landlord and the leased premises will be entered, as well.

Finally, the most important part of the letter, the explanation of the issue, will allow space for the form filler to describe the problem as needed.

After this document is filled out, it should be printed, signed, and copied. One copy should be kept with the tenant and one copy sent to the landlord, ideally through certified mail.

Applicable law

Lease Agreements in the United States are generally subject to the laws of the individual state. Complaint notices to a landlord can vary, based on whether the complaint is about something illegal, contrary to the lease provisions, or just bothersome.
