The letter to Extend Probation Period is a document that is used to notify an employee that their probation has been extended. Usually, the Employment Contract stipulates the length of probation an employee is required to complete before confirmation of employment. However, sometimes, this probation period may be extended when the employee's performance does not meet the employer's expectations but the employer believes that if given additional time, the employee may improve.

Therefore, this letter is used to record the probation extension and to notify the employee that although their employment is yet to be confirmed, they will be given another opportunity to demonstrate their abilities.

There a number of reasons for the probation extension, such as poor job performance, lack of proper training or support, no role clarity, and inability to fully assess the employee's performance. Note that this document is different from the End of Probation Notice. This is because that document is used when the employee's probation has been completed and the probation is either successful or unsuccessful, while in this document, the employee will be given an additional time to prove that they should be given the job.

How to use this document

This is a simple document that requires basic information such as the names and addresses of the employer and the employee, the probation period, the length of the extension, the reason for the extension, and any recommendation for successful completion of the probation.

After completing this document, it should be signed either electronically or printed before appending a signature. After this, the signed copy of the document should be sent to the employee, and the employer can keep a copy of the letter for their record.

At the end of the extension, the employer can send the End of Probation Letter to the employee, confirming that the probation was successful or unsuccessful.
