This Cover Letter for Invoice is for use by a business (whether a sole trader, company, or something else), when sending a Tax Invoice to a client or customer. Businesses that use this document are able to professionally and politely present their invoices to customers, in a manner which keeps customers coming back.

Within the document, the business can provide details of the invoice (such as an invoice number or customer reference number) as well as an explanation of what the invoice relates to. In addition, the business can include any further relevant information (such as whether this invoice relates to a partial payment or full payment for the goods or services which were provided). Finally, the business is able to provide a thank you message to the customer.

In many cases, customers that receive invoices with no explanation are offended by the cold-hearted demand for money. In some cases, customers might not even recall what the invoice relates to. As a result, customers might delay payment, or even refuse payment altogether, forcing the business to either write off the debt, or engage expensive and burdensome debt recovery procedures. In other cases, customers might never return to the business. While this letter cannot guarantee that these things will not happen, it can certainly go a long way towards keeping customers on side.


How to use this document

This document may be sent to customers with a Tax Invoice.

Add all of the relevant information about the business that is sending the invoice, and the customer to which the invoice is being sent.

Add some information about the invoice (such as an invoice number or customer reference number), and if possible, add some information about what the invoice relates to (such as an explanation of the goods or services which the customer has received).

Once the document has been completed, it may be sent to the customer together with the invoice. If the invoice is being sent in hard copy, the letter may be printed and signed and attached to the front of the invoice. If the invoice is being sent by email, the letter may be attached to the email along with the invoice.
